1Enter staff capacity

Add staff names, roles, team, skills, responsibilities, projects and backups. Enter available and allocated weekly hours; these are explicit planning inputs, not automatically derived from task estimates.

2Utilization formula

Utilization = allocated hours / available hours × 100. For 32 of 40 hours, utilization is 80%. For 46 of 40, it is 115%, leaving −6 hours of capacity.

3Interpret workload

Below 70% is under-utilized, 70–90% healthy, and above 90% capacity risk. Above 100% is over-allocation. Zero available hours displays no valid percentage rather than dividing by zero.

4Rebalance responsibly

Review responsibilities and assignments before reallocating work. A recommendation explains its entered hours and threshold. These values do not measure employee performance or imply a staffing decision.
